A professional registered office is useful only if important correspondence reaches someone who will deal with it. When you compare Irish address services, ask what happens after a letter arrives: who identifies the company, how you are notified, whether you receive a scan or the original, and who takes the next action.
This guide is for remote founders and directors buying a registered office with mail forwarding, or checking an existing arrangement. It focuses on the operational chain from receipt to response, rather than repeating a general address or price comparison. Official rules were checked on 10 October 2026; handling times and facilities must be confirmed under your actual service agreement.
The registered office is a legal contact point, not just a mailing label
Section 50 requires a company to have a registered office in the State at all times for communications and notices. The CRO says it must be a physical location, not merely a PO box, allowing postal and hand delivery and relevant statutory access. A service that only redirects ordinary post is not automatically suitable for this legal role.
Before using an address, obtain permission for your specific company and confirmation of activation. Do not copy a provider's contact address from its website or use an illustrative photograph as evidence of allocated premises. Ask how the arrangement will be recorded, including the approved agent's details where an ROA arrangement applies. StartCompany.ie works with authorised partners; that wording should not be confused with a claim that StartCompany.ie itself is an Irish CRO-approved Registered Office Agent.
Why you should not wait for a forwarded envelope to act
Section 51 allows service on a company by leaving a document at, or posting it to, its registered office. It also addresses documents sent to the address recorded by the Registrar even where the office has changed. Do not assume that overseas forwarding, an unopened email or a later personal collection resets a legal response period.
If a letter contains a demand, court document or disputed deadline, preserve the complete notice and obtain advice promptly. The applicable service rules and response date depend on the document and circumstances. An address provider can transmit correspondence; it should not be expected to interpret legal rights or decide whether an extension is available unless that separate professional work has been expressly arranged.
Distinguish receipt, notification, scanning and forwarding
These are different service steps. A notification might tell you that an item is waiting without showing its contents. A scan can make the contents available remotely, but the original may still be needed. Forwarding moves the physical item to an agreed destination. Storage and collection are additional questions, not features to assume from the phrase mail included.
Ask the provider to describe its actual process in writing. Clarify who may authorise opening mail and which items are left unopened. If scanning is not part of the published service, ask whether it is available and on what terms rather than treating it as included. Compare how each stage works for a routine letter and for a time-sensitive item.
| Step | What it establishes | Question to ask |
|---|---|---|
| Receipt | The item reached the receiving address | Which mail categories are accepted? |
| Notification | The company contact has been alerted | What happens if the alert is not acknowledged? |
| Scan, if agreed | A digital copy is available | Are all pages and attachments included? |
| Physical forwarding | The original is sent onward | Which destination, frequency and delivery method apply? |
| Company response | A responsible person takes action | Who confirms completion and keeps the evidence? |
Define which correspondence the service accepts
Official company correspondence is not the same as all business deliveries. Ask about CRO and Revenue letters, legal documents, signed-for items and hand-delivered papers. Separately describe any customer mail, bank correspondence, parcels or ecommerce returns you expect. The provider needs the real use case before it can confirm whether the address arrangement is appropriate.
StartCompany.ie's registered office product includes notification and forwarding of official CRO and Revenue correspondence. It does not include office rental, general parcel handling or annual-return filing. Do not make it your stock delivery point or customer returns centre without a separate agreed arrangement. Where additional mail categories matter, resolve them with the team before ordering.
- List the senders and mail categories the company genuinely expects.
- Ask about signed-for and hand-delivered documents rather than assuming they follow ordinary post rules.
- Separate statutory letters from parcels, stock and customer returns.
- Confirm any exclusions, limits and separately agreed facilities.
Give the provider a monitored contact and a backup
Choose a company-controlled email address that an authorised person actively monitors. Keep a current telephone number and identify a backup for holidays, illness or travel. Ask how to update those details and how the provider escalates an unacknowledged alert. Do not promise yourself that a rarely checked personal inbox will somehow become reliable once the first official letter arrives.
Within the company, decide who reads each category of mail, who instructs the adviser and who records completion. An accountant might handle a tax question while a director handles a commercial demand. Forwarding the same scan to everyone without an owner creates ambiguity. Put the responsible person and next action in a simple correspondence log, with only the necessary people having access.
Agree overseas forwarding and access to originals
For a founder abroad, distinguish notification speed from postal transit time. Ask whether your destination is supported, how dispatch is arranged, whether tracking is available and what any additional postage costs are. Do not rely on a general phrase such as international forwarding to answer every question. A provider's dispatch target is not a guarantee of arrival in another country.
Confirm how long originals are retained, how to request one and who may collect it. Ask about envelopes and attachments as well as the letter itself. If an adviser needs an original, explain that need before the item is discarded or sent somewhere else. If a scan is incomplete or unreadable, request a corrected copy promptly rather than guessing the missing content.
- Confirm the complete onward address and authorised recipient.
- Ask about dispatch frequency, international postage and tracking.
- Establish original retention, collection and disposal instructions.
- Check how urgent retrieval is handled when someone is outside Ireland.
Treat urgent notices as a response task, not a filing task
When a concerning notice arrives, save every page and any envelope information, record when you received the alert and identify the company and reference involved. Verify an unexpected request through an independent official channel before supplying data or making a payment. Then ask the appropriate adviser to confirm the actual issue, deadline and response needed.
Do not mark the item complete merely because you emailed it to an accountant or secretary. Ask for acknowledgement and a clear next step. If an adviser is unavailable, use the agreed backup or seek suitable help immediately. This is a practical escalation routine, not a promise that every notice carries the same deadline or can be resolved by buying a standard company filing.
A physical mail service does not monitor every digital message
Revenue's MyEnquiries is a secure service for sending, receiving and tracking correspondence. Business users access it through ROS. Its messages are not physical letters waiting at a registered office. Decide separately who is authorised to monitor the relevant digital correspondence and follow up with the tax adviser where appropriate.
Apply the same discipline to CRO submission messages, provider emails and your own filing calendar. Keep accounts and contact details current through the proper channels. Do not share a ROS password or digital certificate with an address provider to solve a mail problem. An official-mail forwarding agreement should not be read as authority to access tax accounts or as an undertaking to monitor every electronic system.
Protect scans and personal information during the handover
The Data Protection Commission identifies wrong recipients and incorrect attachments as common email-disclosure problems. Before forwarding a scan, verify the recipient and file, especially where a letter includes personal details. Avoid forwarding an entire unrelated email chain when only one document is needed. Use the agreed secure transfer method for sensitive material.
Ask who can access correspondence, how authorised contacts are changed and how scans and originals are retained or deleted. Set the company's own retention approach with appropriate advice rather than assuming the provider stores everything indefinitely. If something is misdirected, report it promptly through the proper process and obtain advice where required. Do not assume deletion of a message from your sent folder recalls the recipient's copy.
A fictional example: a founder travelling when a notice arrives
Consider a small consultancy whose director is overseas for several weeks. Its agreement identifies one monitored company email and a backup contact. When an official letter arrives, the designated contact acknowledges the alert, obtains the agreed copy and assigns the matter to the appropriate adviser. The original remains available under the provider's retention arrangements if it is needed.
The company logs the next action and checks that the adviser has accepted it. Contrast this with an alert sent only to an old personal email, followed by an envelope dispatched to a former home. The address itself could look equally professional in both cases, but the second workflow is unreliable. The example illustrates organisation, not a claimed StartCompany.ie handling time or an actual client case.
Keep mail continuity when changing or ending the address service
Paying for a replacement address or cancelling an old service does not automatically update the CRO register. The CRO identifies Form B2 for a registered-office change, normally notified within 14 days. Its online filing is free; an address subscription and a provider's filing assistance are separate services. Check the recorded address after the change is processed.
Arrange new permission and activation before ending the old arrangement. Ask how mail already received, uncollected originals and later arrivals will be handled. Record the handover dates and tell advisers and relevant counterparties which details have changed. If you are only changing the onward forwarding address, distinguish that contact update from changing the registered office itself. Do not assume either update automatically changes the other.
What to confirm before buying registered office mail forwarding
Use the checklist below to compare real arrangements, not marketing labels. Obtain the total payable and any separately agreed forwarding or retrieval costs for the actual term and destination. Ask about renewal and cancellation, especially if the company will continue after the first year. A low initial figure is not enough information to assess how correspondence will reach you.
StartCompany.ie offers 12 months of professional registered office service through authorised partners. Our team reviews the company details, completes the required checks and confirms the allocated address before use. Renewal is arranged separately; the current checkout does not create an automatic subscription. Review the product's current scope and ask the team about your mail requirements before proceeding.
